Abstract
This project delivers a SAP-centric automation of the PR to PO (Purchase Requisition to Purchase Order) workflow focused on Stock (Z1) replenishment and a Calibration MVP. The solution uses an Excel (VBA) front end with SAP GUI scripting to keep the user experience familiar while implementing a closed loop – verify -> create -> log -> release – with idempotence and hash-based validation to prevent silent overrides. Architecture and rules are aligned with SAP master data (materials, vendors, info records, DOA/OA) and preserve manual control for releases and exceptions. The evaluation compares three weeks before vs. three weeks after go-live on the same plants/purchaser group. Results show improved service and stability: (1) Stock fulfillment rises from 96.75% to 97.5%, (2) PR to PO lead time (Z1) improves from 2.8 to 2.2 days, and (3) quality metrics tighten (PO rework 2.5% -> 0.3%, exceptions 1.5% -> 0.3%). Over a five-week observation of 921 POs and 2,014 PR lines, a conservative floor estimate indicates ~14.3 hours of manual effort avoided, excluding additional batching and navigation gains. The project demonstrates a pragmatic path to measurable value without shadow systems and outlines a roadmap toward data-feedback consolidation and S/4HANA readiness
